Utopian Recruitment are delighted to be working with a centrally based Edinburgh client who are seeking to recruit an additional member of their team due to growth. You will be responsible for HR Administration duties, including managing the employee life cycle through their employee journey from recruitment to exit. Your role is essential in ensuring a smooth and efficient HR function that supports both employees and the business.

 

Working alongside the HR Manager and Operations Director, you will be involved in developing and improving all aspects of the employee experience, including culture, communication, staff engagement, learning and development, and policy and procedure. Additionally, you will ensure compliance with employment legislation and best HR practices.

 

Your main responsibilities will include:

  • HR administration, including maintaining staff files, HR procedures, and correspondence.
  • Providing HR assistance to staff as required.
  • Recruitment support, including managing the ATS system and candidate journey.
  • Onboarding and offboarding processes.
  • Reviewing and improving the employee experience.
  • Assisting with compliance, policy updates, and best HR practices.
  • Supporting benefits administration and HR-related payroll processes
  • Handling general HR queries from employees.
  • Using internal systems to manage HR processes efficiently.
  • Ensuring Monday.com boards and HRIS are kept up to date with accurate information.
  • Providing HR assistance, including employee documentation, contract amendments, and policy guidance.
  • Monitoring and managing HR & Recruitment inboxes.
  • Assisting with onboarding and offboarding processes, including induction, contracts and background checks.
  • Managing the ATS system, tracking candidates, and communicating with applicants.
  • Supporting the HR Manager with employee relations minute taking.
  • Assisting in coordinating training and professional development initiatives.
  • HR projects such as induction and policy updates.
  • Ensuring compliance with UK employment law and company policies

To be considered for this role; we are looking for:

  • Relevant HR qualification and/or experience of HR administration
  • Excellent IT skills with experience of MS Office Suite
  • Strong communication skills – listening, note/minute taking and emails
  • Ability to work within a team
  • Ability to prioritise work and meet deadlines
  • Ability to liaise with others at all levels
  • Ability to maintain confidentiality
  • Proactive and enthusiastic attitude
